CarerDirect (Pty) Ltd (“CarerDirect,” “we,” “us,” or “our”), registration number 2026/475642/07, operates the website carerdirect.co.za (the “Platform”). This Privacy Policy explains how we collect, use, store, and protect personal information when you use the Platform, in accordance with the Protection of Personal Information Act, 2013 (“POPIA”).
This policy applies to everyone who uses the Platform: independent carers (“Carers”) who create profiles, families seeking care (“Families”) who browse and contact Carers, and visitors who browse without registering.
By using the Platform, you consent to the collection and use of your personal information as described in this policy.
1. Who We Are
CarerDirect is a directory and connection platform based in South Africa. We connect independent home health carers with families seeking care. CarerDirect is not a staffing agency — we do not employ Carers, manage care delivery, or guarantee placements.

2. Information We Collect
2.1 Information Carers provide
When you register and build a profile as a Carer, we collect:
- Name, contact details (phone number, WhatsApp number, email)
- Profile photo
- Bio, years of experience, specialisations, skills, languages, and availability
- Rates and areas served
- South African ID number
- Qualification documents
- Proof of address
- SAPS (police) clearance certificate
- Driver's licence status
- Reference details (name, relationship, phone number) for people you provide as references
- Banking or payment information processed through our payment provider (we do not store your full banking details — see Section 5)
- Video introduction (Background Checked tier only)
2.2 Information Families provide
When you register or make a payment as a Family, we collect:
- Name, email address, WhatsApp number
- Suburb and city
- Payment information processed through our payment provider
- Details you submit through "Request a Carer" or review forms, including the type of care needed and any notes you choose to share
2.3 Information collected automatically
We collect limited technical information when you browse the Platform, including pages viewed and general usage patterns, to help us understand how the Platform is used and to keep it secure.
2.4 Information about referees
If you are listed by a Carer as a reference, we may contact you via WhatsApp or phone to confirm the reference. We collect only your name, relationship to the Carer, and contact details as provided by the Carer.
3. How We Use Your Information
We use personal information to:
- Create and display Carer profiles on the Platform
- Allow Families to search, filter, and contact Carers
- Verify Carer identity, qualifications, and background as part of our tiered verification system (Basic, Verified, Background Checked)
- Process payments for subscriptions and once-off purchases
- Send WhatsApp and email notifications related to your account, payments, profile status, and platform activity
- Respond to enquiries and support requests
- Investigate and confirm references provided by Carers
- Maintain the security and integrity of the Platform
- Comply with our legal obligations
We do not use your personal information for any purpose unrelated to operating the Platform without asking for your separate consent first.
4. Carer Verification and Background Checks
Trust is central to how CarerDirect works, so we are specific about what this involves.
Basic tier: Carer profiles are self-declared. No documents are required to be verified at this tier.
Verified tier:We confirm your South African ID number, review your uploaded qualification documents (including checking accreditation where applicable), and confirm your driver's licence status.
Background Checked tier: In addition to the above, we process a SAPS police clearance check.
Police clearance is required as a baseline for all Carer profiles to go live on the Platform, regardless of tier — it is not an optional paid upgrade.
Background checks are conducted manually by CarerDirect or processed through a reputable third-party verification partner (currently MIE — Managed Integrity Evaluation). We share only the minimum information necessary with our verification partner to complete the check.
5. Payments
All payments on the Platform are processed through PayFast, a licensed South African payment gateway. We do not store your full card or banking details — this information is handled directly by PayFast in accordance with their own security standards and privacy practices. We retain only the information necessary to confirm a payment was made (such as a payment reference and amount) and to administer subscriptions and once-off purchases.
6. How We Share Your Information
We do not sell personal information. We share personal information only in the following circumstances:
- Between Carers and Families:A Carer's profile, including their professional details and (once unlocked through payment) contact information, is shared with Families who unlock that profile. A Family's contact details are shared with a Carer only where reasonably necessary to facilitate that connection.
- With service providers who help us operate the Platform, including: Supabase (database and file storage hosting), Vercel (website hosting), PayFast (payment processing), Meta (WhatsApp Business Platform, for notifications), Resend (email delivery), and MIE — Managed Integrity Evaluation (background check verification).
- Where required by law, including in response to a valid request from a regulator, court, or law enforcement body.
- In connection with a business transfer, such as a merger, acquisition, or sale of assets, in which case we will notify affected users.
We require all third-party service providers to handle personal information securely and only for the purposes we direct.
7. WhatsApp Communications
We use WhatsApp (via Meta's WhatsApp Business Platform) as a primary communication channel for account notifications, verification updates, payment confirmations, and similar account-related messages.
- We only send WhatsApp messages to numbers that have opted in to receive them.
- You can opt out of WhatsApp notifications at any time by contacting us at hello@carerdirect.co.za. Note that some account-critical messages (such as payment confirmations) may still be sent via email if WhatsApp delivery is unavailable or declined.
- If a WhatsApp message fails to deliver, we will attempt to notify you by email instead.
8. Document and Data Storage
8.1 Where your data is stored
Personal information is stored on Supabase infrastructure. Sensitive Carer documents (South African ID, qualifications, SAPS clearance, proof of address) are stored in a private storage location that is never publicly accessible.
8.2 How sensitive documents are accessed
Carer verification documents can only be accessed by CarerDirect administrators for the purpose of verification, using temporary, time-limited links that expire automatically (typically within 60 minutes). These documents are never made public and are never accessible to Families.
8.3 ID number encryption
Where we process a South African ID number for identity verification purposes, the full number is encrypted before being stored. Only the last four digits are retained in a readable format for administrative reference.
8.4 How long we keep your information
We retain personal information for as long as your account is active, and for a reasonable period afterward to comply with legal, accounting, or reporting requirements, or to resolve disputes. If you request deletion of your account (see Section 10), we will process this request within 30 days.
9. Your Rights Under POPIA
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate or outdated personal information
- Request deletion of your personal information, subject to our legal retention obligations
- Object to the processing of your personal information in certain circumstances
- Withdraw consent for processing that is based on consent, at any time
- Lodge a complaint with the Information Regulator of South Africa if you believe your information has been mishandled

10. Requesting Deletion of Your Information
If you would like your CarerDirect account and associated personal information deleted, contact us at hello@carerdirect.co.za, or use the deletion request option available in your account dashboard where applicable.
- We will process deletion requests within 30 days.
- Some information may be retained beyond this period where we are legally required to do so (for example, financial records required for tax or accounting purposes), or where retention is necessary to resolve an ongoing dispute.
- Deleting your account will remove your profile from public view. Previously completed transactions, payment records, and verification logs may be retained in anonymised or minimal form as required by law.
11. Children's Information
The Platform is intended for use by adults. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at hello@carerdirect.co.za and we will take steps to remove it.
12. Security
We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, alteration, or disclosure, including:
- Encrypting sensitive identity information at rest
- Restricting access to verification documents through private, time-limited links
- Limiting administrative access to personal information on a need-to-know basis
- Using reputable, security-conscious infrastructure providers
No method of storage or transmission is completely secure. While we work hard to protect your personal information, we cannot guarantee its absolute security.
13. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices, the law, or the Platform itself. We will post any changes on this page and update the “Last updated” date above. If changes are significant, we will take reasonable steps to notify registered users directly.
